How Verndale is Reimagining Everyday Work with Work AI

The Challenge

After a period of rapid expansion that included four acquisitions in three years, critical knowledge at Verndale had become harder to find across systems like Confluence, SharePoint, Jira, Slack, Teams, Outlook, Salesforce, and Zoom.

Fragmented knowledge forced teams to spend too much time searching for information, reconstructing project history, and recreating work, making it harder to deliver quickly and consistently.

But as we looked closely at the real needs of our business, we realized that a stronger search tool wouldn't be enough. Simply finding information wasn't the goal—helping people use that knowledge to improve how work gets done was.

With that in mind, we set out to build a Work AI platform that would make enterprise knowledge immediately accessible and actionable, giving employees the context, guidance, and AI assistance they needed to work faster, more effectively, and more independently.

The Solution

Rather than deploying another AI tool, we set out to build a Work AI platform that embedded AI into the heart of everyday work. 

At the center of the platform is Glean, the intelligence layer that connects knowledge through broad system integrations and provides the technical capabilities that power Work AI, including enterprise search, a contextual assistant, a knowledge graph, and AI-powered workflows. Glean also provides the platform for functional teams to rapidly self-build AI agents that solve real business challenges with minimal IT support. 

Technology alone, however, wasn't enough to change the way people worked. We complemented our Work AI rollout with an AI Champions network, multi-tiered training, recurring knowledge-sharing sessions, and more to help teams understand where AI could improve daily work and empower them to build the AI agents needed to make it real. 

Finally, to support sustainable adoption and scalability, we established formal governance through agent moderation, security guidelines, centralized platform administration, and role-based access controls. This allowed AI capabilities to be used to their full potential while maintaining security, consistency, and alignment with enterprise standards.

The Outcome

Because we focused on transforming real workflows rather than deploying isolated AI use cases, the value of Work AI became visible almost immediately in employees' day-to-day work. In practice, client teams are replacing daily stand-up meetings with personalized, AI-generated briefings, saving time and budget for higher-value work, while delivery teams are auto-generating standardized account status reports in minutes, helping them get to the root of overages faster and proactively identify risk. Additionally, sales teams are streamlining and strengthening the RFP process by gathering relevant experience, identifying points of differentiation, and drafting proposals.

As employees experienced the tangible value of Work AI in their day-to-day roles, adoption accelerated. What began as an initial set of AI agents quickly expanded to more than 30 functional agents across teams. Within the first year, the platform reached company-wide availability, achieving 85% monthly active usage, with 82% of employees regularly using both Glean and ChatGPT in their daily workflows.

Today, Work AI serves as the connective layer across Verndale's knowledge, people, and processes, helping our teams reimagine everyday work and lead the way to an AI-first future.
